EXECUTIVE ASSISTANT

An Executive Virtual Assistant (EVA) is a highly skilled and experienced professional who provides comprehensive administrative, technical, and personal support to top-level executives from a remote location. Key responsibilities for this role may include:


Calendar Management: The EVA is responsible for maintaining the client's calendar by scheduling and rescheduling appointments, meetings, and travel arrangements.

Email and Correspondence Management: The EVA handles incoming and outgoing emails, letters, and other correspondence on behalf of the client. This includes responding to emails, drafting emails, and forwarding emails that require the client’s attention.

Communication and Relationship Management: The EVA serves as a point of contact between the client and internal and external stakeholders, such as business partners, vendors, and colleagues. The EVA may also represent the client in meetings and events.

Project/Task Management: The EVA tracks and manages the client’s tasks, projects, and deadlines to ensure that they are completed on time and to the expected standard.

Travel Management: The EVA is responsible for planning and arranging travel itineraries, including flights, accommodations, transportation, and other logistics. The EVA also provides support during the trip, such as making reservations and managing expenses.

Document Management: The EVA maintains the client’s important documents, ensuring they are easily accessible and secure.

Research: The EVA conducts research on behalf of the client to support decision-making, prepare presentations, or gather information on competitors or industry trends.

Financial Management: The EVA manages the client’s financial transactions, such as paying bills, tracking expenses, and creating and managing budgets.

Goal Management: The EVA works closely with the client to define, prioritize, and track his objectives. This includes developing action plans, setting timelines, and identifying key performance indicators to measure progress toward achieving the goals.

Event Planning: The EVA plans and coordinates events, such as conferences, meetings, and team-building activities, ensuring that they are executed flawlessly.

Miscellaneous Tasks: The EVA may be responsible for other tasks as requested by the client, such as online shopping, managing personal appointments, or preparing presentations.

KEY QUALIFICATIONS

Minimum 2 years of experience as an Executive/Virtual Assistant

Personal computer or laptop with access to the internet (min speed of 25 Mbps)

Strong written and verbal communication skills

Quality conscious with attention to detail

Solid knowledge of office management systems (Microsoft Office suite and Google Workspace)

Preferably with experience in using project management tools like Asana, Notion or Monday.com

Proactive attitude towards work, including the ability to anticipate and address potential issues before they arise.

Ability to work independently and remotely while maintaining a high level of professionalism and confidentiality.
